Airtable allows you to seamlessly enter requests for immediate response time from you Dedicated Concierge or GTC Team Member. No need for messy confusing emails, phone calls, or texts, this platform does it all so you don’t have to!
When you receive the Airtable email invitation simply accept the invitation, create your profile (no fuss, no extra costs), and chose to use the web-based platform or download the app.

GTC Utilization of Airtable
TASK MANAGEMENT and COMMUNICATION
The Airtable platform can be used via the web, downloaded as an extension to your desktop, or as an app to your phone. This platform is free, but you will need to register with the email you provided to GTC. Once set up, feel free to jump right in and start exploring. It's almost like an enhanced version of excel. All I ask is that you do NOT DELETE anything!
As soon as you get your Airtable invitation feel free to pop in and start to browse. If you are new to joining the GTC family, we may be working on updating it today so you might see changes and updates happening as you are exploring.

Note that task requests (records) are listed in the first tab labeled Task Management and are sorted by their Status. These are the statuses we will be using:

GENERAL CLIENT NOTES - Location for general client notes, i.e.: pets names, preferences, cc info, vehicle information, etc. This tab enables the GTC Team to have all pertinent information readily available to execute your tasks seamlessly.
Concierge Checklist - Upon each visit to your property your GTC Concierge will utilize this list as a home management tool. During this assessment should your Concierge obtain any information that may further assist in the management of home and life they will notify you appropriately.
Favorite Things - To further enhance the luxury experience with GTC we ask that at your leisure to please inform us through this form of your (and your family members if appropriate) favorite things, and sometimes unfavorable things. While some items may seem odd to be requesting, each adds it’s own level of customized service! This is also where you can document important personal information such as allergies and food sensitivities.
Pet Information - Your beloved pets are treated like one of the family under GTC's care and observation. Having this information on hand allows your GTC Concierge to proactively make sure your pets are the healthiest, and happiest, they can be. It is also very important to have this on hand during times we may be providing our keyholder services and pet sitting.

Airtable will enable you to:
- Add a task request directly into the system, which sends a notification to the GTC Team.
- Utilize multiple communication tools specific to each task like upload documents, attachments, add due dates, check notes, use the commenting section as a chat or message board, add hyperlinks and URLs.
- Check the status of each task and the last actions taken.
- Reprioritize task requests.
- Mitigate the use of confusing emails and/or cross-referencing of projects.
Utilizing Airtable
Note that task requests (records) are listed in the first tab labeled Task Management and are sorted by their Status. These are the statuses we will be using:
- HOT - Things that need to be done NOW!
- In Progress - Tasks that are past the planning stages and execution has begun
- Waiting on Response - Tasks that need your input to continue progress
- New A - Top priority task requests
- New B - Mid-level priority task requests
- New C - Low-level priority task requests
- On-Going - Routine scheduled tasks, tasks that require continual scheduling and management
- On Hold - Projects that were started or mentioned and on hold.
- CANCELED - Tasks that were dropped from the list.
- Completed - You guessed it - ALL DONE!
